Pupil Placement Car Pool Tips and Advice
FairfaxCaps has been speaking with various administrators involved in transportation and risk management for
FCPS. These conversations led FairfaxCAPS to come up with the following guidelines for setting up carpools;
- All participants in the carpool must be willing to accept the responsibilities that come with being part
of the carpool.
- All drivers in the carpools must be adequately covered by insurance.
- All participants in the carpools must agree to cover their scheduled shifts or find a replacement to cover
for them. Establish a chain of communication. Every driver should have a backup driver assigned
for that day in case illness prevents them from covering their turn. A plan must be in place to deal
with early dismissals or late openings due to inclement weather.
- All drivers in the carpools must be over the age of 18.
- All members of carpools must agree to have their contact information shared with other members of the
carpool.
- Each carpool will need someone to put together a schedule for the carpool. Members of the carpool
can decide among themselves if they would like to alternate driving daily, weekly, or monthly. People
should be scheduled according to their driving preference.
- Determine a route and schedule. Determine if the students are to be picked up at their homes or in
one central location. (example: Fox Mill Shopping Center, at the entrance of a neighborhood, at an
existing bus stop)
- Everyone must agree to be punctual. Decide how long the driver is expected to wait.
- Establish policies; smoking or non smoking, music and volume, food and drinks.
- The drivers of the carpools should make the sole purpose of the carpool providing transportation for the
students. They should not include stops for errands along the way.
- All drivers should drive carefully and agree to keep their car in good repair.
- Respect the people in the carpool.
